How to manage multiple restaurant outlets without living in your car

One outlet runs on the owner's eyes. The second outlet is where that stops working — not because anything dramatic happens, but because 'I'll notice it' quietly becomes 'nobody noticed it'. Multi-outlet management is the art of replacing your presence with structure.
Get the hierarchy right on day one
The structure that scales is boring and strict: one company at the top; branches under it; a outlet admin who runs exactly one outlet and sees exactly one outlet; users (cashiers, captains) under each outlet with only the screens their job needs. The moment an outlet manager can 'also check' another outlet's numbers, accountability dissolves.
- Company level: owner view, all branches, one switcher
- Branch level: its own users, its own settings, its own plan if outlets differ in size
- Server-enforced scoping — an outlet login must be pinned to its branch by the system, not by trust
Compare branches on one screen, weekly
The single most useful multi-outlet habit: a side-by-side of sales, bills, average ticket, expenses and cash variance per outlet, same period. Differences between branches are your free consulting — if outlet A's average ticket is 15% above outlet B's on the same menu, that's a training gap with a name, not a mystery.
Standardise the recipe, localise the price
Recipes, portion weights and prep SOPs should be identical everywhere — that's what makes your brand a brand. Prices, floor layouts and opening hours can differ per outlet. A system that supports branch-level settings on top of company-level masters lets you do both without maintaining two menus by hand.
Cash discipline is per-branch or it is nothing
Each outlet closes its own day: expected cash computed from its own bills minus its own cash outflows, counted against the drawer, variance recorded with the closer's name. A company-wide cash figure hides exactly the outlet you need to see.
Visit for culture, not for numbers
When the numbers travel to you daily, your visits change character: you're tasting the dal and watching the greeting, not auditing a register. That's the actual job of the owner at scale — the system carries the arithmetic.
